The Special Events Manager is responsible for supporting events and in-kind donations for Clearbrook. The Manager is a member of the Development & Marketing Department, reporting directly to the Director of Special Events.

Essential Functions:

Event Coordination

  • Support special fundraising event planning, participant registration, auction/raffle logistics, favors/giveaways and event materials, décor and supplies.
  • Assist in event logistics and serve as the co-lead on event day, alongside the Director of Special Events, to provide an excellent experience for all participants.
  • Assist with project management/planning, performance tracking, and results reporting for all fundraising events.
  • Assist with post-event receipts and auction item distribution, as well as event wrap up and communications.
  • Serve as primary liaison with event vendors and assist with venue selection and contracting.

In-Kind Donations/Third Party events

  • Manage in-kind donation research, tracking and acquisition for the department, and for select program events 
  • Develop in-kind partnerships and assess in-kind needs for events and special projects 
  • Assist with and serve as the local contact for third-party events in the community as the opportunities become available or as assigned. 

Volunteer Coordination

  • Responsible for volunteer recruitment and management for events.
  • Manage Associate Board service projects and events with Clearbrook clients
  • Track volunteer information in VolunteerHub (event volunteers)
  • Manage the annual Volunteer Appreciation event in June
  • Assist with client events and holiday gifts for client families 

Other

  • Participate in and contribute to event planning and timelines and committee meetings
  • Regular collaboration and courteous communication with volunteers, Clearbrook colleagues, event committees and attendees
  • Work closely with Development & Marketing team members to contribute to overall department & organization success.
  • Committed to Clearbrook’s mission; Responsible for maintaining a solid understanding of Clearbrook and its mission and accurately and positively representing Clearbrook in the community.
  • Responsible for attending and actively participating in internal/external committee meetings as directed.
  • Complete mandatory annual training
  • Responsible for other duties as identified by the Vice President of Development & Marketing and/or the Director of Special Events.

Minimum Qualifications:

Education:

Minimum: A B.A. or B.S.

Preferred: A B.A. or B.S. Degree in Communications, Hospitality, or Non-profit management is preferred.

Experience:

Minimum:

  • Event management experience with strong verbal and written communication skills
  • Project management and event planning experience is required
  • High attention to detail and organizational skills required
  • High energy, flexibility and willingness to take on new projects and initiatives as assigned

Preferred:

  • Fundraising/special event development experience in a non-profit organization
  • Raiser’s Edge and/or GiveSmart experience preferred
  • Volunteer experience and/or management preferred
