Responsible for planning and delivery of EAA’s programmatic, internal and hosted events including field and Oshkosh-based member program events, business and fund development events, company-sponsored employee events, and external client events both indoor and outdoor events. In addition to fulfilling the business needs of the organization and ensuring a commitment to excellence and continued improvement.

  1. Coordinate and execute all logistical aspects of internal and external event needs such as facilities, logistic support, audio-visual, food and beverage, entertainment, landscaping with oversight of the event budget, delivering on service level agreements with event owners detailing event specifications and requirements.
  2. Maintain comprehensive calendar of meetings and events.
  3. Serve as an organizational resource on ideas for themes, speakers and other fulfillment options; research and inform event owners regarding prospective meeting sites.
  4. Seek opportunities to expand our mission driven event opportunities. Tap into our membership base and market EAA as the event destination.
  5. Identify prospect opportunities, negotiate contracts, and close event opportunities utilizing both indoor and outdoor venues available by our unique grounds and facilities.
  6. Develop and maintain ongoing relationships with outside event service providers and subcontractors to ensure service quality and value standards are achieved.
  7. Monitor event activities to ensure compliance with corporate-wide policies, guidelines and standards, applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise. Note: This will include time outside of regular business hours including evenings and weekends as necessary.
  8. Collaborate with departments to deliver on specific event needs such as security, parking, signage, camping, marketing, licensing, and risk management.
  9. Distribute participant evaluations, collect and analyze data, prepare and submit timely reports to continually upgrade quality of future events; conduct post-event review with event owners and make recommendations for future events.
  10. Assist Department Managers in the creation of reports, contracts needs, and collection of data as needed.
  11. Maintain event data and billing information, tracking key information for reporting purposes.
  12. Assist in the recruitment, training and supervising of event volunteers.
  13. Embrace and support the EAA mission and performs safe practices in the workplace and aviation environment.
  14. All other duties as assigned.
  • Associates or Bachelor’s degree in Events Management, Marketing Business or other related field in the hospitality or trade show industry-planning and executing events for a variety of group sizes and needs required. A combination of education and experience will be considered.
  • 5 plus years progressive experience in the hospitality, events, and food and beverage industries. At least 1 year experience in sales capacity with demonstrated experience prospecting, negotiating, and closing contracts.
  • Knowledge of Infusion or other scheduling and detailing software is desired.
  • Ability to work a flexible schedule to include some evenings and weekends.
  • All Event Team Staff members must be eligible to obtain a bartending license under the city of Oshkosh. Class fees and license fees will be covered by EAA upon completion of the course
