Manager of Special Events and Annual Giving

Summary of position:

The Manager of Special Events and Annual Giving splits time between (1) planning, executing, and evaluating events (including two major annual events) to engage donors and increase WH’s prospect pool, and (2) planning and executing an annual individual giving program, including engaging, cultivating, renewing and securing donations from individuals.

RESPONSIBILITIES:

Fundraising Events (Approximately 70% of time)

Serve as primary staff member coordinating the Ball (fall), the Walk (spring), and all other donor fundraising and/or cultivation/stewardship events planned for the year. Responsibilities include:

  • Develop a work plan and timeline for each event. 
  • Provide staff support for volunteer-led committees. 
  • Draft sponsorship guides, solicitation letters and related correspondence to sponsors, vendors, and pro bono donors. 
  • Identify, recruit, and cultivate new and existing corporate sponsors. 
  • Coordinate invitation production, mailings, and manage RSVPs and seating. 
  • In collaboration with Marketing and Communications team, create flyers, signage, and any other printed event material, as needed. 
  • Serve as primary liaison to any event management vendor. Secure bids from and select caterers, printers, designers, florists, etc., on own or in coordination with event management vendor/s. Manage contract negotiation and payments. 
  • Lead implementation and utilization of online event fundraising platforms, re-branded for each event. Serve as staff expert on online event fundraising platforms. 
  • Oversee and coordinate silent, live and wine auctions in coordination with committee members 
  • Serve as primary staff contact for guest/event participant questions and needs. 
  • Collaborate with Marketing and Communications team on strategies to market the event(s). and ensure the deployment of event-oriented print, electronic and social media communications. 
  • Develop, manage and be accountable for event budgets (both revenue and expense). Working with finance staff, produce financial reports and help with revenue reconciliation and collection, as appropriate. 
  • Serve as primary staff contact for third party fundraisers and staff with Wellness House ambassadors or employees as appropriate. 
  • Maintain files and oversee correspondence. 
  • Produce evaluative reports, including weekly revenue reports for large Development events, and expense status reports as requested.

Annual Giving Program (Approximately 30% of time):

  • Manage, and be accountable for revenue from, annual giving program for low and mid-level donors. In coordination with Development writer, execute fundraising appeal mailings, steward donors with effective outreach, and update and analyze donor data. 
  • Manage logistics for 2-3 fundraising appeals per year (print and digital). Continually evaluate appeals for improvement and effectiveness, including regular test strategies and new segments to be solicited. Stay abreast of direct mail appeal trends. 
  • Develop and execute successful cultivation and solicitation strategies to direct and monitor the progress of low and mid-level donor relationships. 
  • Ensure that donors are adequately and immediately thanked for their contributions and updated on our work. 
  • Identify major gift prospects for Senior Leadership to add to their portfolio for more individualized attention. 
  • Help to maintain accurate records and donor information in the database. Review solicitation lists for data cleanliness and any incorrect information. 
  • Seek out and analyze data to inform Wellness House’s development strategies.

Requirements:

Education:

  • Bachelor's Degree

Experience:

  • 3-5 years' experience in nonprofit development and marketing. 
  • Previous nonprofit event management experience required; annual fund experience preferred. 
  • Experience with donor management software and peer-to-peer fundraising software (DonorPerfect, Qgiv and Monday.com, in particular.

Demonstrated Competencies:

  • Excellent customer service, attention to detail, and communication skills. 
  • Outgoing personality. 
  • Computer skills including Microsoft Suite and Social Platforms. 
  • Constant Contact experience preferred but not required.

Estimated hiring range: $63,500 - $70,500 per year
