The Executive Administrative Director supports the club and manages, plans, directs, organizes, and administers the organization’s operations and administration in conjunction with the board of directors and officers ensuring the smooth functioning of the press club. Areas of responsibility include administration, event planning and registration, social media/photography, membership coordination, financial management, communication and outreach, and website maintenance.

The Milwaukee Press Club is the oldest continuously operating press club in North America with a robust non-profit Milwaukee Press Club Endowment.

DUTIES AND RESPONSIBILITIES:

  • Handle membership coordination including inquiries, renewals, new membership packets, and all membership related matters. 
  • Maintain the membership database including correspondence and invitations.
  • Plan and execute the organization’s public events such as the Milwaukee City Birthday Party, Gridiron Awards Dinner, Hall of Fame event and Newsmaker Luncheons. 
  • Register event attendees and collect fees, coordinate the events with the venue, manage catering, staff the registration table, and ensure events stay within budget. 
  • Manage the Awards for Excellence in Wisconsin Journalism contest including advertising the event’s “Call for Entries”, collecting and recording the entries and entry fees in each category, helping locate and distribute entries to judges, recording the results, and handling all inquiries. 
  • Use QuickBooks to manage the organization’s financials including budgeting, accounts receivable and accounts payable, membership dues, and contest fees in conjunction with the treasurer ensuring financeable stability. 
  • Maintain and execute the organizations’ social media presence through X/Twitter, Facebook, LinkedIn, and Instagram. 
  • Write press releases. 
  • Set up and operate AV equipment for events at the Newsroom Pub. 
  • Maintain the website ensuring events and registrations are posted, update the information as needed, and troubleshoot any technical issues with the website vendor. 
  • Distribute website inquiries to the correct person.
  • Collect and process all mail. 
  • Ensure and maintain confidentiality and record keeping related to all Milwaukee Press Club business, contests, and membership. 
  • Perform or assist with general clerical and administrative functions including but not limited to entering data, handling phone calls and incoming mail, maintaining files, and preparing correspondence. 
  • Report to work on time as needed and consistently with few absences. 
  • Perform other related duties as assigned.

EDUCATION:

  • Required: An associate degree, from an institution of higher learning, in marketing, event planning, accounting, communications and/or a business administration related field. 
  • Preferred: A bachelor’s degree 

EXPERIENCE:

  • Required: 3 to 5 years of experience in event planning. 
  • Preferred: Knowledge of business administration, accounting, bookkeeping, and office clerical 
  • Preferred: Previous employment as an Executive Administrative Director. 

SKILLS AND KNOWLEDGE:

  • Required: Extensive knowledge of the operations of non-profit membership-based organization. 
  • Demonstrated skills and knowledge in the operation and applications of computer systems and programs including QuickBooks, as well as the MS Office Suite. 
  • Able to use and post WordPress, Facebook, X, Instagram, and LinkedIn.
  • Experience in event planning and execution. 
  • Must be highly organized, meticulous, accurate, have a strong attention to detail, and able to follow specific instructions and handle multiple tasks, while working well under pressure in a professional business environment. 
  • Must have strong oral and written communication skills. 
  • Must have a record of reliability and personal integrity. 
  • Must present a well groomed, professional appearance. 
  • Ability to work overtime as required. Must have full speech, vision, hearing, and mobility, with or without reasonable accommodations, and meet all the requirements of the Milwaukee Press Club. 
  • Preferred: Excellent professional and character references.

Based on Qualifications.

This position is part-time with the flexibility to work-from-home unless otherwise required.  Hours are weekdays and will ocasionally be variable. For example, *Must be able to work flexible hours in-person as needed for programs and events. This position reports to the  Milwaukee Press Club Board of Directors.
