Event Operations Manager

The Event Operations Manager is responsible for leading the finish area operations for all Medtronic Twin Cities Marathon Weekend events (MTCM Weekend); and contributing to all other TCM events, primarily in finish area logistics and event operations preparation and execution, as part of the TCM Events Team.

Maturity, strong communication, organization, and leadership skills are critical for the Event Operations Manager position, as is the ability to operate and make decisions in a fast-paced environment. The position reports to the Director of Event Operations and responsibilities include, but are not limited to, the following:

Main Responsibilities:

• Serve as the finish area operations lead for the Medtronic Twin Cities Marathon weekend, and all TCM Events 
• Develop and maintain high-quality finish area logistics and operations documentation for all aspects of MTCM weekend finish area operations 
• Manage the volunteer committees, staff, and vendors responsible for all MTCM weekend finish line, finish area operations, brew crew, gear check operations and others as assigned. 
• Submit and track permits necessary for all MTCM weekend finish area operations. 
• Coordinate with assigned city agencies (e.g., SPPD, State Capitol, State Patrol) to ensure successful operations of all MTCM weekend finish area 
• Manage all additional Marathon Weekend finish area committees (e.g., Brew Crew, Credentials, Radios, Utility Carts, Forklifts, etc.) 
• Manage most of the vendors for Marathon Weekend, including submitting RFPs for and assessing the suitability of new vendors when needed 
• Collaborate with other individuals or departments to ensure complete and accurate details, including integration of sponsors and partners, into all MTCM weekend finish area permits and operational plans 
• Maintain awareness of all relevant construction and public works projects that could impact MTCM weekend finish area operations. 
• Lead and manage Saturday Events of Marathon Weekend and year-round Youth Programs, including but limited to, committee organization, meeting planning, operational planning and budget management.

Cross Functional Responsibilities:

• Serve as the primary event/project manager for one (or more) year-round assigned TCM races and events. 
• Lead and coordinate event site, traffic management, planning and permits with city agencies 
• Manage event logistics documents and collaborate with staff and other departments to ensure complete and accurate details, including integration of sponsors and partners 
• Monitoring the event operations budget and driving the development of the budget for the following year for assigned events 
• Tracking and submitting event permits (with input, sign off and support where needed)
• Work with marketing and partnership teams on participant and sponsor engagement/experience enhancement activities 
• Coordinate with Volunteer Manager to secure volunteers 
• Lead and collaborate with volunteer event lead and event committee and attend regularly scheduled meetings 
• Work with assigned vendors and manage contract obligations 
• Support Director of Event Operations with city agencies (e.g. MPD, SPPD, MPRB Police, State Patrol) to ensure successful operations of assigned TCM events 
• Submit RFP’s for assigned year-round vendors to ensure best practices and availability of needed assets 
• Provide significant event management support for all TCM events. 
• Personnel management of association members and volunteers, assigning roles and jobs with input from Director of Event Operations. 
• Assist in managing warehouse operations 
• Other duties as apparent and required, as assigned by the Director of Event Operations

• Minimum 2-4 years event management experience 
• Proven ability to work with diverse peers, community and volunteer groups 
• Effective leader, able to build consensus among all constituencies 
• Skillful communicator able to effectively interact with a diverse group of personalities 
• Strong interpersonal, organizational and planning skills 
• Able to handle a busy, fast-paced, deadline-driven environment, with attention to detail and ability to maintain a calm presence during challenging situations 
• Experience with non-profits and volunteerism a plus 
• Minimum 1-2 years of project management experience preferred 
• Experience with and demonstrated proficiency in Microsoft Office Suite 
• Available to work non-traditional business hours during all events and to attend evening and morning meetings 
• Ability to regularly lift weights for events up to 25 lbs. and occasionally weights up to 40 lbs. 
• Comfortable driving box trucks (no CDL required)
• Forklift certification a plus, willingness to become forklift certified a must 
• Four-year degree preferred

Salary: $58,000 to $62,000 per year.
